Privacy Policy

Aurora Drilling and Consulting LLC (“Aurora,” “we,” “us,” or “our”) operates the Aurora Timesheet & Billing Portal (the “Service”) — a web application through which workers and facility contacts submit timesheets, expenses, and related records, and through which authorized Aurora staff manage approvals, invoicing, payments, and collections. This Privacy Policy explains what information we collect through the Service, how we use and share it, and the choices you have.
By using the Service, you agree to the collection and use of information as described in this policy.
1. Information We Collect
Information you provide
- Contact and account information — your name, email address, phone number, company or client affiliation, and role or position.
- Timesheet and work records — hours worked, dates and shifts, work locations, job and cost codes (such as AFE/WBS references), descriptions of work performed, and related notes.
- Expenses and receipts — expense amounts, descriptions, and receipt images or documents you upload.
- Signatures — electronic signatures you draw, type, or save for signing timesheets and related documents.
- Approvals and correspondence — approval decisions, correction requests, purchase-order references, and messages sent through or in connection with the Service.
Information collected automatically
- Technical and log data — IP address, browser type, pages visited, timestamps, and delivery status of emails we send (for example, whether a notification was delivered).
- Cookies — we use only essential cookies, such as the session cookie that keeps authorized staff signed in. We do not use advertising or cross-site tracking cookies.
Payment-related information
The Service tracks amounts payable, pay rates, and payment status for work performed. Worker payments are processed by ADP WorkMarket; the Service does not collect or store your bank account or payment card numbers.
2. QuickBooks Online Integration (Intuit)
With the authorization of an Aurora administrator, the Service connects to Aurora’s own QuickBooks Online company through Intuit’s APIs to support invoicing and payment reconciliation. Through that connection, the Service may create and read customers, invoices, payments, and invoice attachments in Aurora’s QuickBooks Online account.
- QuickBooks data is used solely to provide the Service’s invoicing, billing, and reconciliation features. We do not sell it, use it for advertising, or share it except as described in this policy.
- The OAuth tokens that secure the connection are stored encrypted and are accessible only to the Service.
- An Aurora administrator can disconnect QuickBooks from the Service’s settings at any time, and the connection can also be revoked from Intuit’s connected-apps management page. Intuit's own privacy practices are described in the Intuit Privacy Statement.
3. How We Use Information
- To operate the Service — collecting, reviewing, approving, and correcting timesheets, expenses, and related records.
- To generate invoices and supporting documents and bill Aurora’s clients for work performed.
- To process and track worker payments, including registration with and payment through ADP WorkMarket.
- To send transactional emails — approval requests, correction links, notifications, and payment confirmations.
- To maintain accurate business, accounting, and tax records.
- To secure the Service, prevent fraud and abuse, and comply with legal obligations.
4. How We Share Information
We do not sell personal information, and we do not share it for advertising. We share information only:
- With service providers that process it on our behalf to run the Service: Intuit (QuickBooks Online, accounting), ADP WorkMarket (worker onboarding and payments), Airtable (data storage), Vercel (hosting and file storage), Resend (email delivery), and Pusher (realtime updates). Each provider is bound by its own contractual and privacy obligations.
- With Aurora’s clients and facility contacts, to the extent needed to approve work and process billing — for example, a facility contact sees the timesheet submitted for their site.
- For legal reasons — when required by law, subpoena, or legal process, or to protect the rights, safety, or property of Aurora, our workers, or others.
- In a business transfer — if Aurora is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.
5. Data Retention
Timesheets, invoices, and payment records are business and accounting records; we retain them for as long as needed to operate the Service and to meet legal, tax, and audit requirements. Technical logs and email-delivery records are kept for shorter operational periods.
6. Security
We protect information with measures appropriate to a system of this kind: all traffic is encrypted in transit (HTTPS/TLS), access credentials and integration tokens are stored hashed or encrypted, staff access is invite-only and role-restricted, and emailed links are single-purpose, expiring tokens. No method of transmission or storage is completely secure, but we work to protect the information entrusted to us and will respond promptly to any suspected incident.
7. Your Choices and Rights
- You may request access to, correction of, or deletion of your personal information by contacting us at the address below. We will honor requests except where retention is required for legitimate business, legal, tax, or audit purposes.
- Emails sent by the Service are transactional (approvals, corrections, payment notices) rather than marketing; they are part of how the Service operates.
8. Children
The Service is a business tool for workers and business contacts. It is not directed to, and may not be used by, anyone under 18 years of age.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The “Last updated” date above reflects the most recent revision, and material changes will be communicated through the Service or by email. Continued use of the Service after a change takes effect constitutes acceptance of the revised policy.
